By accessing our website, signing a proposal or order form, paying an invoice, using a service, clicking an acceptance button, or otherwise engaging KYEVOR to provide services, you agree to these Terms.
If you accept these Terms on behalf of a company or other organisation, you represent that you have authority to bind that organisation.

The specific services provided to a client will be described in the relevant proposal, statement of work, order form, invoice or other written agreement.
We may introduce additional services, software or features in the future.
4. Orders, Proposals and Statements of Work
Individual engagements may be governed by one or more:
- proposals;
- statements of work;
- order forms;
- invoices;
- service agreements; or
- other written commercial arrangements.
Together, these may be referred to as an Order.
An Order may specify matters including:
- scope;
- deliverables;
- fees;
- project timelines;
- payment schedule;
- the per-booking fee and go-live date;
- usage limits;
- support arrangements; and
- additional commercial terms.
If there is a conflict between these Terms and a specifically negotiated and signed Order, the Order will take priority for that engagement to the extent of the conflict.
Where a separate Data Processing Agreement applies to personal-data processing, that agreement will govern those data-processing matters.
5. Changes to Scope
Work outside the agreed scope may require:
- additional fees;
- a revised timeline;
- a new Order; or
- written approval from the client.
KYEVOR is not required to perform material additional work without agreement on the revised scope and applicable charges.
Minor implementation decisions reasonably necessary to deliver the agreed service may be made by KYEVOR without a formal scope amendment.
6. Fees and Payment
Fees will be specified in the applicable Order or invoice.
Per-booking fee
KYEVOR charges a fixed fee for each Billable Booking. The fee is agreed in writing in the Order before go-live and changes only if both parties agree in writing.
No setup fee, monthly fee or minimum term
There is no setup fee, no monthly fee and no minimum term. If there are no Billable Bookings in a month, nothing is payable for that month.
Billable Booking
A Billable Booking is a consultation appointment that:
- is booked through a channel KYEVOR operates for the client, including WhatsApp, Instagram and website chat, and is recorded in the booking calendar or CRM that KYEVOR provides, or passed by KYEVOR to the client's own booking system;
- is not a duplicate of an appointment the same patient already holds for the same consultation; and
- is attended by the patient.
The client records attendance, no-shows and cancellations in the booking calendar or CRM within 7 days of the appointment time; any appointment not recorded as a no-show or cancellation by then is treated as attended.
Each appointment is billable once, even if it is rescheduled. Appointments cancelled by the client, or booked into a slot the client had marked unavailable, are not billable.
Appointments booked by the client's staff after taking over a conversation that began in a KYEVOR-operated channel are billable.
Invoicing
KYEVOR invoices monthly in arrears. Each invoice covers the previous calendar month and lists every Billable Booking by date, channel and booking reference. Invoices are payable within 14 days of the invoice date.
Booking disputes
If the client believes an invoiced booking is not billable, it should tell KYEVOR within 7 days of the invoice date and give the reason. KYEVOR will review it in good faith and credit any booking that does not meet the definition.
One-off projects
One-off projects outside the AI front desk are priced separately in a written Order.
Taxes
Fees are exclusive of VAT and other applicable taxes unless expressly stated otherwise.
The client is responsible for applicable taxes associated with the services.
7. Late and Unpaid Amounts
If payment is not received when due, KYEVOR may:
- pause work;
- suspend access to systems;
- disable automations;
- withhold deliverables;
- postpone launch;
- suspend support; or
- terminate the affected service.
KYEVOR will not be responsible for losses resulting from a suspension caused by the client's failure to pay amounts when due.
The client remains responsible for outstanding fees and reasonable recovery or collection costs permitted by applicable law.
8. Refunds
Unless otherwise stated in an Order or required by applicable law:
KYEVOR does not take payment in advance. If an invoiced booking is later shown not to meet the definition of a Billable Booking, KYEVOR will credit its fee against the next invoice or, if the service has ended, refund it.
Project fees
Project fees are non-refundable once work has commenced.
Discretionary refunds
KYEVOR may issue a refund, credit or other adjustment at its sole discretion without creating an obligation to provide similar treatment in another case.
9. Ending the Service
There is no minimum term. Either party may end the service by giving 14 days' written notice.
The client should send notice to: hello@kyevor.ai
KYEVOR will keep operating the service during the notice period, and Billable Bookings made during that period are payable.
10. Client Responsibilities
The client must:
- provide accurate and complete information;
- provide required access, credentials, content and documentation;
- cooperate reasonably with implementation;
- provide approvals and feedback promptly;

11. Client Delays
Project dates depend on timely cooperation by the client.
If the client delays providing:
- information;
- access;
- credentials;
- content;
- approvals;
- feedback;
- data;
- integrations; or
- other required dependencies,
KYEVOR may extend the delivery timetable accordingly.
KYEVOR is not responsible for missed deadlines resulting from client-caused delays.
Where a project is materially delayed by the client, KYEVOR may need to reschedule the work based on available capacity.
12. Third-Party Services
KYEVOR's services may depend on third-party products and platforms such as:
- artificial intelligence providers;
- hosting providers;
- CRM platforms;
- communications platforms;
- cloud services;

- future changes.
KYEVOR may replace or modify third-party providers where reasonably necessary.
13. Third-Party Costs
The per-booking fee covers the software, AI usage, messaging and booking tools KYEVOR uses to run the service.
The client remains responsible for accounts and subscriptions it holds independently of KYEVOR, such as its Meta Business account, its phone line and any clinic booking system.
KYEVOR will not pass on any other third-party charge unless the client has agreed to it in writing in advance.
14. Platform Availability and Restrictions

KYEVOR does not guarantee that Meta, WhatsApp or another platform will approve, maintain or reinstate an account.

- inaccurate;
- incomplete;
- inconsistent;
- outdated;
- misleading;
- biased;
- unexpected; or
- unsuitable for a particular purpose.
AI outputs should be reviewed by a suitably qualified person where accuracy or consequences are important.

KYEVOR does not warrant that AI-generated outputs will:
- always be factually correct;
- be free from errors;
- be identical when the same input is repeated;
- meet every client expectation;
- remain consistent following model updates; or
- be suitable for high-risk decisions without human review.
The client remains responsible for determining whether an AI-generated output is appropriate before relying on it.
18. Human Review
The client must maintain appropriate human oversight of AI systems where reasonably required by the nature of the task.
AI should not automatically replace professional judgement where a decision could materially affect:
- health;
- safety;
- employment;
- legal rights;
- financial interests;
- eligibility; or

- medical advice;
- legal advice;
- financial advice;
- accounting advice;
- investment advice; or
- other regulated professional advice.
The client must obtain appropriate professional advice where required.
21. Healthcare, Clinic and Aesthetic Clients
Where the client operates a:

- treatments;
- procedures;
- results;
- risks;
- benefits;
- qualifications;
- pricing;
- before-and-after material; and

KYEVOR does not independently certify the medical accuracy or regulatory approval of information supplied by a client.
